Frequently Asked Questions about the School District Move to Google as Email Provider

Q) Can I still keep my personal google account?

A) Yes. You can still have an account @gmail.com, it will not interfere with your district account in any way.

Q) How do I create a desktop shortcut to the google web mail?

A) NEW ANSWER - January 20, 2011. This shortcut can be a bit tricky, drag and drop from the address bar of your browser doesn't always works as expected because of the sign in page. Go to start > run, type, \\danvers-08\apps then click OK. Copy the icon titled "District Google Mail"...to your desktop.

Q) Will I be able to read my old emails in Google mail?

A) Using the Google Apps Sync for Outlook you can migrate you email, contacts and calendar to Google. Check out the tutorial. for the preferred method. If this method fails contact the tech department for an alternate method.

Q) Do I have to be on a specific computer to get to my email?

A) You can access the email from any computer that is connected to the Internet.

Q) What happens when I delete an email?

A) When you first delete a message it goes to the "Trash", which can be found under the "4 More" link

Q) When does the trash get emptied?

A) The trash says: "messages that have been in Trash more than 30 days will be automatically deleted." There is also a link to empty the trash immediately.

Q) After I "archive" a message, how to I find it again?

A) There are at least two answers...you can use the search feature (search for sender, subject, or any words in the message body) or you can go to the "4 More" link in the near the bottom of the left side menus.

Q) How to I access the filtered junk mail to see if a message is there that shouldn't be?

A) You can use: http://login.postini.com/a/lewistown.k12.mt.us

Q) When I click on an email link on the web, my computer tries to open Outlook...how can I fix it?

You can designate Gmail as your default mailto handler. This means that when you click on any hyperlinked email address, a Gmail compose window will open so you can send a message to that address from Gmail.

 

To do so in Windows:

  1. Download the Gmail Notifier. When installing you'll need your "backdoor" password. Contact the tech department if you do not have it.
  2. Right-click the Notifier icon in your system tray, and select Options.
  3. Check the box next to Use Gmail for internet mailto: links.
  4. Click OK.

If you decide later that you don't want to use Gmail as your default email application, simply uncheck the box.

Q) When I try to use File > Send to > Email in Word or Excel or another program, Outlook tries to run. How can I fix it?
